Introduction: As part of our commitment to food safety and adhering to industry standards, it is essential that our partners retain food samples especially when serving large numbers of people (80 and above). This process ensures that in the unlikely event of a foodborne illness, a reference sample is available for testing. This guide outlines the necessary steps and best practices for retaining food samples in line with food safety management systems.

 

Why Retain Food Samples? Retaining food samples is a preventive measure to:

  • Investigate food safety issues promptly.

  • Protect both your business and ours from liability in case of a food-related incident.
  • Follow best practices within the catering industry.

General Requirements for Retaining Food Samples:

  1. Sample Size:
    • Retain at least 150 grams of each perishable food item served (this includes any main dishes, sides, sauces, dressings, etc.).
  2. Sample Collection for bentos and buffets:
    • Collect samples as soon as the dish is prepared.
    • Use clean utensils and ensure samples are taken in a hygienic manner.
    • If the order is for a buffet or mini buffet, retain a sample from the first batch of each item.
  3. Storage Containers:
    • Use sterile, food-grade, airtight containers for storing samples. Clearly label each container with the dish name, order ID and date.
    • Ensure that containers are sealed tightly to prevent contamination.
  4. Labeling: Each sample should be labeled with the following details:
    • Name of the dish
    • Order ID
    • Date and time the sample was taken
  5. Storage Conditions:
    • Store all food samples in a clean refrigerator set at 4°C (39°F) or below.
    • Samples must be kept for 1 week, in case they are needed for testing. If keeping it for a week is challenging, please retain it for at least 72 hours.
  6. Disposal of Samples:
    • After 1 week, food samples should be safely discarded unless instructed otherwise due to a food safety investigation.

Recommended Best Practices:

  • Ensure that all kitchen staff are trained on the importance of retaining food samples and understand the process.
  • Keep a log of all food samples retained, including dish names, collection dates, and disposal dates.
  • Perform routine checks to ensure that the sample retention process is followed when required.

Handling Food Safety Issues: In the event of a food safety incident:

  1. Retain all food samples related to the incident until further instructions.
  2. We will need access to the retained samples for testing.
